The automatic confirmation email

What Wavrr emails your client after a waiver is completed, when it sends, and what to do when it does not arrive.

When a waiver is completed, Wavrr emails the client their copy automatically. You do not have to do anything.

When it sends

The email goes out when the waiver reaches Completed — which means after both signatures are in, not when the client signs.

This is the single most common misunderstanding about Wavrr. The client signs, sees a confirmation on screen telling them their artist will finish their part, and then waits. If you have not signed yet, no email has been sent, and nothing is wrong.

What it contains

The client gets their signed waiver as a PDF attachment, with your studio name on it. It is the same PDF you can see in the dashboard.

Ink passports send their own email

Creating an ink passport sends a separate email, and it goes to both the client and the artist. That is deliberate — the ink record is often what a doctor asks for months later, and both sides having it is the point. See Create an ink passport for a session.

When it does not arrive

Work through these in order:

  1. Check the waiver is actually Completed, not Pending Signature.
  2. Check the email address on the record for typos. A client typing on a phone gets this wrong more often than you would think.
  3. Ask the client to check spam and to search for "Wavrr" rather than your studio name.
  4. Re-send the copy from the waiver — see Download or re-send a signed PDF.

If it still does not arrive after a correct address and a re-send, get in touch and we will look at the delivery log for that address.

Your own copy

You do not need the email — every PDF is permanently available in your dashboard under the client's record. The email exists so the client has their own copy without depending on you.
