Aftercare & ink registration

Record needles and inks for traceability

Log the exact inks and needles used in a session, down to lot number and expiry date, so you can answer a recall or a doctor's question.

Updated

When a manufacturer recalls a batch, or a client's doctor asks what was used, the question is always the same: which product, which lot, on which day. The ink and needle registration on each appointment is where you answer it in advance.

Where you enter it

Both are sections of the Aftercare / Ink Registration form, which opens when you tap Mark as done on a fully signed appointment. See Send aftercare after an appointment.

They are not part of the signing step. The waiver records consent; this records the work.

Inks

  1. In Ink registration, pick each ink you used from your ink catalog.
  2. If a bottle is not in your catalog yet, tap Add ink and enter it there.

Each ink carries a Brand, Colors, Supplier and Batch Number. With aftercare switched on, your saved ink library is called Ink Catalog in the sidebar, and Account → Ink catalog in the app. See Save inks in Ink Registration.

Needles

Tap Add needle for each needle or cartridge you used. Every field is optional, so record what is on the packaging:

FieldWhat to put in it
BrandThe manufacturer
TypeNeedle or cartridge type
ConfigurationThe grouping and diameter, for example 9M1 · 0.35 mm
Lot numberThe lot or batch code from the packaging
Expiry dateMonth and year, as printed
SterilisationHow it was sterilised, for example the method on the label
SupplierWho you bought it from
PackageThe state of the packaging when opened

You can add up to 30 needles to one appointment. Rows you leave completely empty are dropped when you save.

Where it ends up

  • On the aftercare record PDF, under Ink passport and Needle registration. Fields you left blank are shown as "Not provided", so it is clear nothing was hidden.
  • In the aftercare email to the client, if you send one. You can also save the record without sending it.
  • On the appointment, so you can open it again from Waivers or the client's record.

Why it is worth the minute

Most of the time, nobody asks. When somebody does — a recall, an allergic reaction, a regulator — this record is the difference between "it was that batch, on these three clients" and going through a year of appointments from memory.
