Ink passport

What an ink passport is

A record of the exact inks and pigments used in a session, kept alongside the consent form.

An ink passport records what actually went into the skin: brand, colours, supplier and batch number, per session, attached to the client and the appointment.

It sits alongside the consent form. The waiver records what the client agreed to; the ink passport records what you used.

Why keep one

A client has a reaction. Their doctor asks what was used. Without a record the answer is a guess, and a guess is not useful to a dermatologist trying to identify an allergen.

A batch gets recalled. Pigment recalls happen. With batch numbers on file you can identify exactly which clients were affected in minutes. Without them, you cannot.

An authority asks. Product-safety and health authorities in a growing number of countries expect studios to be able to say what they used on whom.

A client comes back. Knowing which pigment you used two years ago is how you match a touch-up.

One passport can hold several inks, which is what you need for anything but a single-colour piece.

How it fits together

  1. Save the inks you use regularly in Ink Registration, once.
  2. After a session, create an ink passport and pick the inks from your saved list.
  3. Wavrr generates PDFs and emails them to both the client and the artist.

Both sides getting a copy is deliberate. The client having their own ink record is what lets them hand it to a doctor without going through you.

Where to find them later

Ink passports appear on the client's record next to their waivers, and you can export all of them at once — see Export records for an inspection or audit.
